Setup the Microsoft Outlook integration

1) Connect Outlook

  1. Go to Settings → Integrations → Microsoft Outlook in Agenisy.
  2. Click Connect Outlook.
  3. Sign in with the Microsoft account that owns the mailbox.
  4. Approve permissions (read emails/threads; sending can be optional depending on your setup).

2) Select what to monitor

Choose:

  • Primary mailbox
  • Shared mailboxes (if used)
  • Folders to include (Inbox + any enquiry/accounting folders)

3) Define your capture rules

Set filters such as:

  • Subject keywords (“quote”, “enquiry”, “scaffold”, “invoice”, “PO”)
  • Recipient mailbox (enquiries@ vs accounts@)
  • Sender rules (main contractors, repeat customers)
  • Category rules (Outlook categories if you use them)

4) Configure attachment handling

  • What should be stored to the job record
  • What should be routed to finance records
  • Naming rules and folder structure (job ref + date + sender)

5) Configure drafting and approvals

  • Draft replies: on/off
  • Auto-send: off (recommended)
  • Approver: admin/manager role
  • Templates: missing info request, quote follow-up, appointment confirm, invoice chase

6) Test the workflow

  • Send a test enquiry email with an attachment
  • Confirm a lead/job is created, email is logged, attachment stored
  • Confirm follow-up task is created if no reply within your set window

Recommended setup (most scaffold firms)

  • Capture enquiries only from specific inboxes/keywords (avoid noise)
  • Store all drawings/specs/photos to the job record automatically
  • Draft replies enabled with manager approval
  • Follow-up reminders at 24h / 72h for unresponsive leads
  • Shared mailboxes routed by job type or region
