Setup the WhatsApp integration

1) Connect WhatsApp

  1. Go to Settings → Integrations → WhatsApp in Agenisy.
  2. Click Connect WhatsApp.
  3. Verify the phone number you want to use (company line or dedicated ops number).
  4. Confirm whether you’re using WhatsApp Business (recommended for firms).

2) Define who can use it

  • Add authorised team members (numbers)
  • Set roles/permissions (who can trigger what):
    • site operatives: updates + photos + issues
    • supervisors: task creation + approvals requests
    • office/admin: customer comms + coordination
    • managers: escalations + reporting

3) Set routing rules

Choose what happens when messages come in:

  • If message contains job ref/site name → attach to that job
  • If unknown → create a “new update” and request job/site selection
  • Keyword routing:
    • “variation” → log variation + request details/photos
    • “urgent” → escalate to manager
    • “invoice” → route to finance
    • “rams” → route to compliance/doc generation

4) Configure notifications and digests

  • Daily digest recipients (ops manager, office, directors)
  • Escalation rules (urgent issues, safety flags, overdue tasks)
  • Reminder timing (end of day, start of day, 2 hours before deadlines)

5) Test the workflow

Send test messages:

  • “Site update: [job/site] – crew moved to rear elevation, delivery arrived”
