    • Creating a “Site Visit” can trigger tasks like: request photos, prepare documents, assign estimator, set follow-up

Setup the Google Calendar integration

1) Connect Google Calendar

  • Click Connect Google Calendar
  • Sign in with the Google account that owns/manages the calendars
  • Approve permissions (read/write calendar events)

2) Choose which calendars to sync

Select:

  • Primary calendar (usually the main diary)
  • Any shared calendars (Ops, Site Visits, Sales, Installations)
  • Optional: team member calendars if you manage multiple diaries

3) Set sync behaviour

Choose how you want it to work:

  • Two-way sync (recommended)
  • One-way sync (calendar read-only) if you only want Agenisy to “see” availability

4) Define scheduling rules

Set defaults:

  • Working hours (Mon–Fri, weekends, evenings)
  • Event duration defaults (e.g., Site visit = 45 mins)
  • Buffer time for travel/setup
  • Lead time rules (e.g., don’t allow bookings within 24 hours)

5) Turn on automations

Examples:

  • New enquiry → create “Call back” slot
  • Site visit booked → create checklist tasks + assign owner
  • Quote sent → schedule “Follow-up” event in 3 days

6) Test it

  • Create an event in Agenisy → confirm it appears in Google Calendar
  • Edit the event in Google Calendar → confirm updates sync back (if two-way enabled)

Common setup pitfalls

  • Connecting the wrong Google account (personal vs business)
  • Not selecting shared calendars
  • Time zone mismatch (especially if multiple regions)
  • Not setting working hours/buffers, causing “available” slots that aren’t realistic
