Setup the Instagram integration

1) Connect your Instagram account

  • Click Connect Instagram.
  • Log into the Facebook/Meta account that manages the Instagram profile.
  • Select the correct Instagram Business account (must be a Professional/Business profile).

2) Choose what you’re syncing

Enable the sources you want:

  • Instagram messaging (DMs)
  • Lead forms / campaign leads (if you run Meta lead ads linked to Instagram)
  • Optional: ad attribution (to tag source campaigns)

3) Set permissions

Approve access to messages and lead data so enquiries can be captured and routed.

4) Configure what happens on new enquiry

Set rules such as:

  • Create Lead/Contact
  • Assign Owner (specific person or round-robin)
  • Apply Tags
  • Create Tasks (respond, call, quote, chase)
  • Move into Pipeline stage (New → Contacted → Quoting → Won/Lost)

5) Build your qualification flow

Decide what to ask when someone messages:

  • Location / postcode
  • What they need done
  • Timeframe / dates
  • Photos / drawings / site constraints
  • Budget expectations (optional, but useful)

6) Test it

  • Send a test DM.
  • Submit a test lead (if using lead forms).
  • Confirm it creates the right record, tags, owner, and tasks.

Common setup pitfalls

  • Instagram isn’t a Business/Professional profile.
  • Wrong Meta Business Manager connected.
  • Messaging permissions not granted.
